Hey, hey, welcome back to the Cheerful Productive Chats podcast! We’re getting towards the end of the year, and wow—what a year it’s been! It was definitely one of those years where almost nothing went as planned for me. And it seems like that’s been the case for a lot of people. I don’t think anyone could have predicted how this year would go, but I’m going to be one of the first to say that I have really high hopes for 2025.
In fact, I feel really good stepping into 2025—much better than I did last year. And that’s truly because I’ve been working hard this year to optimize a lot of my own backend systems and make them even better. The goal is to help me get more done, because even though I already have systems in place, I’m constantly improving them to set myself up for success in 2025.
When everything is running smoothly in the background, and I don’t have to constantly fix things or do tiny tasks that I could have automated, it gives me more time to focus on other strategies, money-making tasks, collaborations, and more. It really helps clear up some of that mental clutter.
So, I’m excited to dive into this episode and share the top three types of systems that will help you feel more organized and productive as we head into 2025. With these systems in place, you’ll be prepared for a smoother ride, no matter what chaos, unplanned events, or unexpected circumstances arise.
Let’s dive into the three systems that I highly recommend setting up—or working toward—if you haven’t already.
1. Task and Project Management Systems
The first type of system I recommend is your task and project management system. These are the systems that will help you organize your tasks and projects, meaning you’ll have an efficient workflow in place. They help you complete tasks on time and reduce stress.
I personally use Trello as my project management tool, but there are also other tools like Airtable, ClickUp, and Asana that work well for organizing tasks. These tools allow you to map out projects and tasks with all the little checklists you need to complete for each specific project.
For example, a project could be writing a blog post, recording a podcast episode (like I’m doing right now), creating a new course, or launching a Facebook group. You’ll list out everything that needs to get done to complete the project.
A quick tip: Start with a simple tool to build your task management systems. I love Trello and use it for all my tasks and project management. You can create as many boards as you need. 2. Content Planning Systems
Next up are content planning systems. If you’ve ever felt like you’re on a never-ending content hamster wheel, you’re not alone. Creating content is a lot of work, and it’s even more overwhelming if you want to repurpose your content across multiple platforms.
Content planning systems are super important in managing this. Personally, I’ve had a content planning system in place for a long time. But if I don’t update and optimize it, I tend to slack off. A good content plan is essential, especially when creating podcasts, blogs, social media posts, and more.
For instance, before recording this podcast episode, I’ve already completed about five other steps, such as brainstorming the topic, outlining, researching, and more. So strategic content planning is key to staying consistent and delivering relevant content that helps you engage your audience and grow your business.
A quick tip: At a minimum, create a content calendar to plan and schedule your content in advance. This will help you stay consistent and relevant. Then, as you get more organized, you can create more in-depth systems to execute your content plan.

3. Email Marketing Systems
The last system I want to talk about is your email marketing system. Email marketing is one of the most effective ways to connect with your audience. It’s always at the top of my priority list, even more so than recording podcast episodes. Email marketing is essential for any business because you own your email list.
So, you need systems in place to make sending emails a whole lot easier. Without proper systems, it can be difficult to keep track of your newsletters, sales emails, and evergreen funnels. Having a streamlined process for planning, organizing, and scheduling your emails makes it much easier to stay consistent and reach your audience in a timely manner.
A quick tip: At a minimum, you need to have a plan for scheduling and tracking your emails to stay top of mind with your audience. This connection is key to building relationships that will eventually lead to sales.
