Most solopreneurs think their overwhelm is a time problem, a tool problem, or just a where do I even start problem… but after dozens of conversations with business owners, I can tell you it’s almost never any of those things.
It’s a missing systems problem → and not even the kind of system you might be thinking of.
If you’ve been working hard, doing all the right things, and still feel like you’re drowning in your to-do list, in this episode we’re getting into the real reason you feel overwhelmed, the three systems for solopreneurs that you actually need, and why all three have to work together for any of them to stick. 🙌🏼
Why Overwhelm Isn’t a Time, Tool, or Idea Problem
Most of us are telling ourselves that overwhelm is something it’s not. And until we fix that, none of the systems we put in place are going to stick.
So let’s name the things:
- Overwhelm is not a time problem. You don’t need more hours
- It’s not a tool problem. One more app isn’t going to magically fix everything
- And no, you don’t need fewer ideas either
What overwhelm usually means is that you’re missing some kind of system in some area of your life and/or business, and those missing systems are quietly causing the chaos that surrounds everything else. ✨

The 3 Systems for Solopreneurs That Actually Reduce Overwhelm
When I say missing systems, I’m not just talking about business workflows. There are actually three types of systems for solopreneurs that need to be working together → business systems, life systems, and productivity systems.
Let’s unpack each one so you can figure out which one is your weak link.
Business Systems: The “What” of Running Your Business
These are the ones we talk about most on the podcast. They cover things like:
- Workflows and task management
- Client processes (onboarding, offboarding, communication)
- Operations like invoicing, contracts, and file management
- Content planning, batching, and repurposing
- Trello setups and project management
Signs this is your weak link include:
- You’re constantly reinventing the wheel for every client
- Tasks are falling through the cracks
- Your business is running you instead of the other way around 😩
Life Systems: The “How” You Run Everything Outside Your Business
These are the systems that hold up the rest of your life. And honestly, this is where a lot of solopreneurs are actually living when they think they have a business problem.
Life systems cover things like:
- Your home and household (meal planning, laundry, cleaning rhythms, family logistics, finances, errands)
- Caretaking, whether it’s kids, aging parents, pets, or anyone who depends on you
- Your day job, if you’re running your business as a side hustle
- Your personal wellbeing: faith, rest, relationships, self-care
Signs this is your weak link include:
- You’re constantly putting out fires at home
- Your business is spilling into every corner of your life
- You feel resentful of your business because there’s no room for anything else
Productivity Systems: The Bridge Between Both
This is the one most of us don’t even realize is a system, because we tend to think of systems as a tool or a platform or something tangible.
Productivity systems are how you operate across both your business and your life. They include things like:
- Routines and habits
- Planning
- Focus and attention management
- Mindset
- Energy management
If this one is failing, it’s going to make it so much harder for you to set up the more tangible systems on the business and life side.
Signs this is your weak link include:
- You’re busy but not productive
- You’re constantly switching between tasks
- Decision fatigue is draining you
- The mental load you’re carrying feels heavier than the actual to-do list

Why All 3 Systems for Solopreneurs Have to Work Together
These are stacked systems. When weakness shows up in one, it shows up everywhere else too.
A few examples:
- You can have the best client workflow, but it won’t matter if you’re running on four hours of sleep when it’s time to show up for your coaching call
- A perfect morning routine isn’t going to save you if your business has no operational backbone
- You can plan your day perfectly, then sit down to work and realize… wait, I don’t even know what tasks this project actually involves 🤦🏻♀️
All three have to work together for any of them to stick.
And before you start mentally listing all the ways you’re failing at this… STOP. We are humans.
The point isn’t to overhaul everything. It’s to notice which area is the weakest right now, and start there.

How to Figure Out Which System Is Your Weak Link
Okay, time to make this actionable. Here are three simple steps to figure out which of the systems for solopreneurs you need to focus on first.
Step 1: Rate each of the three systems
Are they solid, shaky, or barely there? Go through business, life, and productivity and give yourself an honest gut-check rating.
Maybe you feel decent in business but you’re missing some of the life pieces. Maybe your habits and routines are locked in, but you haven’t carved out time to build real business systems yet. It’s usually a mix.
Step 2: Pick the weakest one
Decide and acknowledge where your overwhelm is most likely coming from. That’s the one you tackle first.
Step 3: Choose one small thing to work on this week
And I mean small. We’re not overhauling everything. Just one tiny thing that improves that weak link.
