I was stuck in this loop, thinking everything had to be perfect: the framework, the outline—everything. I kept telling myself that I needed to have it all ready before setting a launch date, and that caused months of delay. Eventually, I decided to move forward with it as a presale.
I had the framework. I had the outline. That was enough. I just needed to move forward. And you know what? The launch went great! I already have several students in the course, and I can’t help but wonder, what would have happened if I launched it months ago when I first thought of it? Of course, there were other factors and priorities, but if I had just taken that first step earlier, who knows where the course would be by now?
This is a perfect example of where many entrepreneurs get stuck. But here’s the thing—it’s natural. We’re human. It happens. But we have to acknowledge that overcomplicating our productivity with things like perfectionism or all-or-nothing thinking is what causes this delay. We wait for everything to align perfectly, but that’s how we get trapped in a cycle of inaction.
Let’s talk about why this happens and how it affects our productivity.
The Problem with Overcomplicating Productivity
Now, let’s dive into some common traps that entrepreneurs fall into when they overcomplicate productivity, often without even realizing it.
The first trap is overplanning and not taking action. This ties into perfectionism. We plan, we plan, we plan—but we never actually do. We add little details, think of reasons why now isn’t the perfect time, and wait for the right moment. This leads to inaction, and nothing gets done.
Next is overloading your schedule. You think you can handle everything, but without breaking tasks down, you don’t see how much time each task really requires. You see the big picture and think, “I can do it all,” but life throws curveballs—and spoiler alert—it often does. Even I, with my systems in place, sometimes bite off more than I can chew. And then I have to scale back, rework my schedule, and admit that I can’t do it all in one go.
The last trap is lack of clear priorities. When you’re not clear on what your priorities are, productivity gets messy. Even if you think you’re clear, you might not be focusing on the things that actually move the needle in your business. This is another productivity killer.
These three traps—overplanning, overloading, and lack of priorities—leave you feeling busy without actually achieving anything. The key to breaking free is simplifying your approach and focusing on what really matters.
Simplifying Your Approach to Productivity
So, how do we simplify productivity and avoid the traps we just talked about? Here are a few actionable tips to help you simplify your approach:
- Focus on one task at a time. I know it’s tempting to multitask, but trust me, you can’t do two tasks that require deep focus at once. You’ll just end up switching back and forth and wasting time. Pick one task and give it your full attention. For example, today has been a full recording day for me. I’m focusing solely on recording—no editing or writing in between. It’s all about batching similar tasks.
- Prioritize what truly matters. Look at your to-do list and ask yourself what will actually move the needle in your business today. Not everything on your list needs to be done now. I recommend using something like the Eisenhower Matrix, which you can find in my free Weekly Planning PDF, to help you decide what’s urgent and important.
- Set realistic goals. I know you’re ambitious, but it’s important to set goals that align with the time and resources you have. Consider how much time you can realistically devote to your business, how much personal life you’re juggling, and your skill level. Yes, set big, bold goals, but also set smaller, realistic ones so you don’t set yourself up for discouragement when you don’t hit the big ones right away.
- Choose a productivity system that works for you. My go-to system is Trello. I use multiple boards for different processes in my business, and it helps me stay organized. But spoiler alert: The tool doesn’t matter as much as sticking with it consistently.
Simplifying your approach isn’t about doing less work; it’s about doing the right work. By eliminating unnecessary tasks and reducing distractions, you create more room for focus and creativity. That’s how you get more done with less stress.
