If you’re listening to this in real time, and if you’re celebrating, that is where the inspiration of today’s episode title came from. In case you didn’t guess. Some spooky, fast ten minute systems that save you time. So because we’re all about saving time here, we’re gonna keep this one a short and snappy. The inspiration for today’s episode came from the new quick system video tips that are, that have just been added to the cheerful productivity shop. Like they are literally just a few minutes that are going to take you a few minutes to get done. So it’s like five to ten minute videos where it’s going to show you how to optimize a specific process or system or workflow in your business that should really only take you about ten minutes or less to get done. And it’s going to save you loads of, loads of, loads of time compounded over time. So I’m really excited because we’re going to dive in into exactly what some of those systems are. Okay. But first, before we do that, I really want to talk about this power of ten minutes, because I know, I know my audience and I know that even though you’re here and you’re listening, you’re following.
Organizing and systemizing your business is not your favorite thing to do. I know, I get it. It isn’t always as fun for me to do as well, but it is so, so important. And even if you are just taking ten minutes to manage your business, the back end of your business, by improving a specific process or system or workflow, or taking a few minutes to organize one specific thing, it’s going to help you so much. Not only saves you time, but helps kind of relieve your sanity and your overwhelm too, right? Because now you can find what you need when you need it. You’re getting things done faster. You’re seeing know how you’re not having to switch tasks from, oh, I have to now go press this button to get this thing done, or now I have to do this because you could have done it with an automation or something. Right?
So ten minutes is truly, truly powerful and can really be your most productive moment of your day if you’re really doing whatever the thing is with a lot of focus and intent. So don’t underestimate ten minutes, okay? These small actions that you’re taking to implement, to optimize your process, systems, workflows, whatever, can really lead to these really, really big results. So I really want to encourage you to take at least just ten minutes. It doesn’t have to be a day. It can be a week. Fine. It can be a week if you want, preferably as much as possible, but just ten minutes to plan, organize, or systemize your business. Because those ten minutes that you do spend doing whatever that task is, it’s going to save you exponentially more amounts of time over time. Okay, now go back to listen to episode 73.

Okay, but today we’re gonna stick to, like, quick, quick and easy. Quick and easy things you can implement. Okay, so here are four easy examples that you can go and implement today to help you save some more time and should really take you not that long. Like we’re saying about ten minutes or less. Okay, so here are some things that you can optimize in just ten minutes or less. One, you can implement a process to get your task, your blog posts done quicker. This is true for your podcast episodes, your YouTube videos. You can implement something to help you get them done faster, whether it’s the writing portion, whether it’s the actual doing portion where you’re like, formatting your blog post.
Like, there’s different tricks that you can do to really make that process faster, even if it’s just going to save you like two minutes each time. But how much time are you spending doing that in a month? In a year? Right? And then if you add it up with these other things, how much more time are you going to save altogether? So that’s one thing. You can also do some color coding, which is one of my favorite things to do. You can color code your Google calendar to help you better schedule things. If you didn’t know that was a feature, that’s definitely a feature that I use in my personal calendar that lets me know when certain things are happening. Who it’s for, is it personal or business? Color coding is amazing. I personally do it in Google Calendar, but I think Apple Calendar has color coding features too. I’m not sure, but I think they do. So definitely color code your calendar to help you better schedule and to just visually see what you have going on and who it’s for.
You can also create email templates, whether you’re using kit or mailerlite or activecampaign. Check to see if there is a template that you can use or create so that way you’re not having to format certain things every single time you send an email. In my case, I use kit, formerly known as Convertkit, and they have this feature where you can create email templates and I can choose within each sequence or broadcast which one of those templates I want to use. And it’s already formatted to the font, the font size, the banners, any links that I want in there, any specific words or phrases that I want to start and end with, any extra things that I want to include. And it’s there. I took some time to create it once and now it’s there for me to reuse as many times as possible and I don’t have to keep recreating it from scratch.
So that’s the third thing, the fourth and final thing, the fourth and final idea here is that you can set up an easy access link to all of those non Facebook communities that you’re a part of. I personally love communities that are not on Facebook, but I understand that you might forget to log in, you might forget that you didn’t have it, you might forget that you were a part of it, and you just don’t even know where the link is. So create a system or process to help you easily find those links so that way you can go back whether they’re paid or free. Community, but especially if they’re a paid community, you should definitely have a process that makes it super easy for you to nothing, only remember where to go, but to like actually go into the community. So these are four ideas of some quick and easy systems that you can implement in your business in just ten minutes or less.
